Financial Controller (Remote)[1711]
QBO expert who thrives on precision and high-volume payments? Join us as a trusted financial partner to growing founders and keep our operations running smoothly!
US Job Finders is searching for a:
Financial Controller (Remote)
Location: Remote (U.S. Eastern Time Zone)
Employment Type: Part-Time to start, with the opportunity to move to Full-Time
Experience Required: 5+ years of accounting or controller experience, and 5+ years of advanced, hands-on QuickBooks Online experience
Reports To: Founders
Language Requirement: Strong written and spoken English
About the Role
US Job Finders is seeking a highly organized, detail-driven Financial Controller to own the finance function of a fast-growing U.S.-based remote staffing company. The company places remote professionals with U.S. businesses, which means a high volume of contractor payments every pay cycle, a large and changing contractor base, and margins that need close attention.
In this role you will run the day-to-day finance operation. You will process contractor payments accurately and on time, keep payment information current for every contractor, manage weekly and monthly bookkeeping and reconciliations, and close the books. Just as important, you will turn the numbers into management reporting and key performance metrics that help the founders make better decisions and grow the business.
Advanced QuickBooks Online experience is required. We are looking for someone who has run the books in QuickBooks Online, not just logged into it. The ideal candidate combines hands-on accounting precision with a business mindset. You will be a trusted financial partner to the founders, not just a bookkeeper.
Key Responsibilities
Contractor Payments & Payroll Processing
Process a high volume of contractor payments accurately and on schedule every pay cycle
Verify payment amounts against approved hours, timesheets, monthly rates, bonuses and adjustments before releasing payments
Process international payments through payment platforms and bank transfers, managing currencies, fees and payment timing
Process client-approved bonuses and one-time payments to contractors
Maintain a payment calendar with clear cut-off dates and communicate it to the team
Resolve contractor payment questions, failed payments and discrepancies quickly and professionally
Contractor Payment Records & Compliance
Maintain accurate, up-to-date payment information for every contractor: bank details, payment method, rate and status
Set up new contractors for payment during onboarding, and update or deactivate records when contractors change or leave
Verify every change to contractor banking details before processing, to prevent payment errors and fraud
Collect and maintain required tax and compliance documentation (for example, W-8BEN and W-9 forms)
Support year-end contractor tax reporting (for example, 1099s where applicable)
Bookkeeping, Reconciliations & Month-End Close
Manage weekly and monthly bookkeeping in QuickBooks Online: categorizing transactions, recording entries and maintaining a clean chart of accounts
Perform bank, credit card and payment platform reconciliations weekly and monthly
Own the month-end close so books are accurate, complete and closed on time
Maintain accounts payable, including vendor bills and recurring expenses
Keep organized financial records and documentation, ready for the outside CPA and tax filings
Client Billing & Accounts Receivable
Prepare and send monthly client invoices accurately and on time in QuickBooks Online
Match client billing to active placements, so every placed contractor is billed correctly
Track receivables, follow up on overdue invoices and keep collections on schedule
Apply client payments and keep the accounts receivable aging report accurate
Management Reporting & KPIs
Deliver monthly financial statements: profit and loss, balance sheet and cash flow
Build and maintain management reports and KPI dashboards for the founders
Track the key metrics of a staffing business, such as:
Gross margin by client and by placement (client bill rate vs. contractor pay rate)
Revenue, active placements and revenue per client
Client and contractor retention
Days sales outstanding (DSO) and collections performance
Cash position and cash flow forecast
Budget vs. actual performance
Strategic Financial Support to the Founders
Act as the founders' financial partner, providing analysis and recommendations for financially related decisions
Prepare cash flow forecasts so the company can always cover contractor payments, especially when payments go out before client receipts arrive
Support pricing and margin decisions with clear data on what each client and placement earns
Help build budgets, forecasts and growth scenarios
Spot cost-saving opportunities, such as reducing payment processing and currency fees
Coordinate with the outside CPA on tax preparation, filings and year-end work
Controls & Process Improvement
Set up and maintain internal controls for payments, approvals and banking changes
Document finance processes and SOPs so the function scales as the company grows
Find opportunities to automate and streamline payment, billing and reporting workflows
Required Skills & Qualifications
5+ years of accounting, controller experience, including controller-level or senior accounting responsibility
5+ years of advanced, hands-on QuickBooks Online experience: chart of accounts, reconciliations, invoicing, A/P, A/R, journal entries, month-end close and reporting
Proven experience processing high volumes of payments to contractors, vendors or employees
Strong experience with bank and account reconciliations
Able to produce clear financial statements, management reports and KPIs
Solid understanding of accrual accounting and U.S. accounting practices
Advanced Excel / Google Sheets skills (lookups, pivot tables, financial models)
Exceptional attention to detail and accuracy. Payment errors directly affect contractors' livelihoods.
Able to explain financial information clearly to non-finance founders
High integrity and discretion with sensitive financial and personal data
Strong written and spoken English
Self-directed, organized and able to manage recurring deadlines without supervision on a part-time schedule
Available to work during U.S. Eastern Time (EST) business hours
Nice to Have

CPA, ACCA or similar certification (or progress toward one)
QuickBooks Online ProAdvisor certification

Monthly: Close the books, send client invoices, follow up on receivables, and deliver financial statements and the KPI report to the founders
Quarterly: Review budget vs. actual and margin trends, update forecasts, and support CPA and tax deadlines
Annually: Support year-end close, contractor tax reporting and annual budgeting
