About the Role

US Job Finders is seeking a meticulous, systems-minded Systems & Reporting Operations Analyst to join a fast-growing U.S.-based recruitment and RPO firm. The company runs on a connected stack of recruiting, sales, finance and communication systems, and it uses Claude AI across the business.

You will own that stack end-to-end. That means keeping every system clean and current, producing the weekly and monthly reporting that shows leadership what is really happening in the business, and using Claude to turn raw system data into clear, plain-language insight. You will also build the Claude agents, scheduled tasks and automations that deliver that reporting and remove manual work from the team.

This is a high-trust role with real ownership, reporting directly to the CEO. The right person takes pride in reporting that is accurate and always on time, has no patience for messy data, and gets real satisfaction from building automation that saves people hours. Just as important, you have a consultative instinct. When someone asks for a report or tool, you find the real need behind the request and build the right solution, not just the one that was asked for.

Key Responsibilities

Systems Administration & Data Integrity

• Administer the company's core systems: ATS, Pipedrive, Indeed, Zoom, Base44 dashboards, Claude.ai and Jeanie AI (AI calling)

• Manage configuration, user setup, field consistency and deduplication across all systems

• Own data integrity everywhere: consistent naming, clean pipelines, and no stale or duplicate records

• Pull financial reports from QuickBooks (read-only access) for reporting

• Document how each system is configured and how each report is built, so the work is transparent and transferable

Reporting & Dashboards

• Produce a standard reporting package on a fixed weekly and monthly cadence

• Build and maintain Power BI dashboards, paired with clear written summaries

• Deliver accurate, on-time reporting across four core areas:

Claude AI Automation & Agents

• Design scheduled reporting: recurring Claude tasks that run on a set cadence, pull from connected systems and deliver each report, with approval steps for anything client-facing

• Build Claude agents and automations, from reusable setups that behave consistently to multi-step workflows and scheduled automations that take action, always choosing the simplest approach that works

• Run a standard library of Claude analyses that turn each reporting area's data into plain-language insight, trend commentary and anomaly flags

• Connect company systems to Claude through connectors with disciplined, least-privilege access

• Build logging and alerting into every report and automation, so a failure never goes unnoticed

• Administer Claude for the team: shared setups, sensible defaults and access governance

• Help colleagues use Claude well in their own day-to-day work

Internal Consulting & Communication

• When someone requests a report, dashboard or automation, dig into the real need first. Separate the stated request from the underlying problem.

• Interview team members about how they work and find opportunities to simplify, automate or report better

• Run requests as structured projects, with clear scope, priorities and follow-through

• Communicate clearly and proactively across time zones, and flag blockers early instead of letting work slip quietly

Required Skills & Qualifications

• Hands-on administration experience with an ATS and a CRM (Pipedrive or similar). This is essential.

• Demonstrated reporting and dashboarding experience, ideally in Power BI

• Comfortable pulling and reading financial reports (QuickBooks or similar), including revenue, P&L and budget vs. actual

• Working fluency with Claude or comparable AI tools for analysis and automation, or clear, demonstrated ability to learn quickly

• A consultative instinct: able to take a vague request, understand the real need and land on the right solution

• Meticulous attention to data accuracy and a genuine intolerance for messy data

• Strong written English, with reliable, proactive communication across time zones

• Able to work with daily overlap into U.S. Eastern Time business hours

• Self-directed, organized and able to own work end-to-end with minimal supervision

Nice to Have

• RPO or staffing industry experience (a significant plus)

• Pipedrive administration experience specifically

• Experience with Indeed, Zoom administration and reporting, or AI calling tools such as Jeanie AI

• Hands-on experience building Claude agents, scheduled tasks, connectors (MCP) or Claude Code workflows

• Experience with Base44 or other dashboard and app-building tools

• Experience designing monitoring, logging and alerting for automations

• Previous work with U.S.-based companies

• Monthly: Deliver the monthly reporting package, including financials and trend commentary

• Ongoing: Build and improve Claude automations, and document systems and reports

Working Hours

Full-Time – with daily overlap into U.S. Eastern Time business hours

This is a full-time, 100% remote position.
